How to Compress a Photo to 20KB, 50KB or 100KB for Online Forms

Exam, job and admission forms often reject a photo for one reason: the file is too big. The form says "under 50KB" or "between 10KB and 20KB", and a phone photo is several megabytes. Here is how to get any photo or signature to the size a form asks for, free, with nothing to install.

Step 1: Read the form's rules first

Every portal sets its own limits, so check the notification before you touch the photo. Note down four things:

  • File size: the maximum, and the minimum if there is one (some forms reject a file that is too small, too).
  • Format: usually JPG or JPEG. A PNG or an iPhone HEIC file may be refused.
  • Dimensions: some forms ask for a size in pixels, or in centimetres.
  • Photo rules: background colour, how recent it must be, and whether a signature goes on white paper.

Step 2: Fix the format and the shape

If your photo is a HEIC file from an iPhone, change it to JPG with the free HEIC converter. If the form gives exact dimensions, crop and resize the image first. Smaller dimensions mean the file reaches a small KB target without looking blurry.

For a signature, sign in black or dark blue ink on plain white paper, take the photo in daylight and crop close around the signature so no table or shadow is left in the frame.

Step 3: Compress to the exact KB you need

Open the free Compress Image tool and upload your photo.

  1. Type the target size, for example 50, and choose KB.
  2. Aim a little under the limit, such as 45 for a 50KB form, to leave room for the portal.
  3. Download the result.

The tool first lowers the quality step by step. If the photo is still too big at the lowest sensible quality, it shrinks the dimensions too, so even a large photo can reach 20KB.

Step 4: Check the size before you upload

Open the Image Size Checker and drop the new file in. It shows the file size, width, height and aspect ratio, so you know it passes before the form tells you it does not. If the form also has a minimum size and your file is under it, compress again with a slightly higher target.

Common problems and quick fixes

  • "File size exceeds limit": compress again a few KB lower. Portals sometimes count a KB as 1,000 bytes, not 1,024.
  • "Invalid file format": convert to JPG first, then compress.
  • Photo looks blurry: resize to the form's dimensions before compressing, not after.
  • Signature too faint: retake it with darker ink and better light; compression cannot add contrast that is not in the photo.
